Our client, a fast growing boutique law firm in Media, PA (Delaware County) has an immediate need for a Front Desk Receptionist/Marketing Assistant

Job Summary:
The Receptionist/Legal Assistant/Marketing Assistant provides support to office personnel in the daily executive operations of the Law Firm. Candidate will handle confidential matters, screen incoming calls, interfacing with clients for initial consultations, etc. There is a variety of administrative tasks associated with this position that requires the person to not only have strong interpersonal skills, but excellent ability to organize and work independently on a variety of tasks.

Job Duties and Responsibilities: Receptionist

  • Maintain cordial relations with other personnel, clients and customers
  • Respond to incoming client and employee requests, needs, concerns, suggestions,etc.
  • Receptionist duties (all calls to be answered within two (2) rings by receptionist/group)
  • Provide prompt and courteous follow-up or dispatching of calls.
  • Taking messages/forwarding calls to appropriate staff members
  • Schedule appointments and maintain appointment calendars as necessary with understanding of firm priorities regarding initial consultations, signing appointments and case management and casemix.
  • Handle all mail (incoming/outgoing) and overnight package arrangements
  • Initial Consultation assistance with copying/scanning client asset info

Administrative Support to Lawyer(s) & Paralegal(s)

  • Basic administrative duties, correspondence, forms and attachments
  • Assist in transition to paperless office (scanning mail/documents upon receipt)
  • Courthouse filings
  • Ordering of office supplies
  • Plan, coordinate and confirm travel plans for business trips
  • Manage executed documents process which includes:
  • Copying/scanning executed estate planning documents and saving to the system
  • Prepare document package for clients & Insure timely pickup of documents

Database Management

  • Opening new matters in TimeMatters
  • Electronic filesetup
  • Paper filesetup
  • Prepare and distribute weekly reports(
  • Reopening Files
  • Database management (upon death or divorce) of client, referral source report
  • Time Matters training & development of internal procedures and checklists (if time permits)

Marketing Assistant

  • Seminars
  • Self-sponsored and invited events.
  • Pre-event process
  • Event process
  • Post-event Process (including marketing campaign with email)
  • Prepare monthly e-mail newsletter and distribution (upon approval)
  • Update website for marketing events
  • Facebook and Twitter content development and distribution
  • Press release preparation &distribution
  • Proof and prepare PowerPoint presentations for seminar folders
  • Update annual marketing materials & brochures (with lawyer assistance)

Miscellaneous & Special Projects

  • Update library periodicals
  • Distribution of weekly/monthly professional journals
  • Perform special projects and other duties as assigned

Job Qualifications:
Bachelors degree or equivalent experience; Minimum two (2) years office experience. Preferably at least (1) year previous law firm experience, but not required. Prior marketing experience helpful.

  • Ability to establish good relationships with clients &customers.
  • Organized and detail oriented.
  • Possess excellent communication skills, both verbal and written.
  • Ability to multi-task and establish priorities.
  • Experience with Time Matters preferred, but not required as long as tech savy/comfortable.
  • Effective use of all Microsoft Office and general software is essential.
  • Demonstrate and maintain an extremely high regard for confidential and sensitive information.
  • Interact with all levels of personnel
