Executive Assistant job – VMware – Palo Alto, CA

This role will provide direct sales support utilizing a variety of well developed organizational and project management skills. The candidate must be extremely well versed in field and headquarters policies and procedures and use sound judgment in the application of general business principles and demonstrate initiative in carrying out assigned duties.

We seek a person driven to provide exceptional and timely support to the VP, WW Systems Engineering, NSBU. As such, we seek a proactive individual who enjoys a fast-paced environment and who has the ability to work with senior management to complete assigned tasks on time with minimal supervision and who can prioritize multiple projects and adjust workload accordingly.


  • Compile daily, weekly and monthly sales forecast, booking and revenue reports. Reconcile and analyze reports for accuracy
  • Track, reconcile and report all forecast, booking and billing numbers for sales managers. Validate accuracy of information
  • Act as liaison between sales, HR, recruiting, finance and education to ensure coordination and communications for Federal team are maintained
  • Coordination and planning for sales meetings, conference calls and special events, including arrangement of logistics, meeting space, communications and catering
  • Coordinate, plan and participate in sales manager meetings and conference calls. Prepare presentations for sales meetings
  • Arrange conference calls, schedule meetings and assist with general office maintenance (including phone coverage and maintaining customer order files, organizational charts and phone lists)
  • Arrange and confirm local, domestic and international travel for VP and other members of the sales organization as needed
  • Communicate Sales Logistics and procedural changes specific to Sales Operations
  • Help coordinate onboarding process with new employees in the Reston office
  • Field all incoming calls for and receive visitors
  • Calendaring and email management
  • Create, edit and proofread business communications and documents utilizing MS Word, Excel and PowerPoint
  • E-mail, fax and copy documents
  • Prepare/track expense reports, PRs and Pos as required
  • Special projects on an as-needed basis
  • Facilitate communication with all levels of management, both internal and external


  • Associate/Bachelor’s degree preferred and at least 5 years of related experience. Experience supporting a sales organization within a technology company highly desired
  • 2 + years executive level support required, preferably for a public, billion $+ company
  • Extremely strong organizational, project and time management skills; detail-oriented
  • Advanced level skills with PowerPoint, Excel, MS Word, Outlook
  • Experience with sales specific budgets highly desired
  • Strong sense of urgency and efficiency in completing work
  • Ability to take self-initiative and be proactive
  • Ability to multitask and prioritize workload
  • Ability to work in a high pressure environment
  • Ability to recognize and appropriately handle highly sensitive and confidential material and information
  • Excellent verbal and written communication skills
