Our Wastewater Division is responsible for the City’s Sanitary Sewer and Storm Drainage systems.The Administrative Services section of Wastewater Management provides intra-Departmental customer service and supports the Customer Service section’s storm billing program.
We run a copy and supply room where we hand out supplies, make copies, bind books and do lamination by request. We operate the Wastewater switchboard and route calls throughout the building. We are responsible for mail collection and delivery throughout the building. We publish the Wastewater newsletter, The Pipeline, and take photographs for Departmental and Public Works’ events as needed. We compile the building’s phone list. We scan the daily bill payments to the cashier into our in-house Storm Merge application and ensure that they are 100 percent accurate.
Oh, and we also process, print, fold and mail more than 30,000 storm bills per month.
We’re a tight-knit group that knuckles down on big jobs but keeps it light; we have a great working environment here in the Wastewater building ( free parking !).
About Our Job
The Executive Assistant position offers a fantastic opportunity for a qualified candidate to flex their creativity in the pages of The Pipeline, mix and mingle with the rest of Public Works during big Public Works’ events as the unofficial photographer of record and generally function, in the argot of professional wrestling, as our Agency’s Hype Man, er, Hype Person. There’s plenty of blue collar knuckling down involved as well, in the production of our weekly storm billings, where the right person can take pride in being an integral part of making sure the City’s coffers are well-stocked. We do the jobs that other departments don’t always want to do, we do them well, and we take pride in it.
Here’s a summary of what you’ll do:
Plan, design and build The Pipeline, the Wastewater Management Division’s monthly newsletter.
Assist Mail Clerk with Storm Billings
Update and Monitor the Downstairs TV
Metro Wastewater Board Luncheon
Maintain employee manuals/employee procedural training
Take photos as needed/requested
Research and evaluate best office practices and technology.
Fill in wherever and whenever necessary for your co-workers, be it on the switchboard or the mail run or the copy room.
Serve as Staff Lead in absence of Supervisor.
Any additional clerical/editorial/compositional duties that your supervisor sees fit.
We are looking for an outgoing, friendly, and creative person with strong communication and leadership skills who isn’t afraid to get their hands dirty on regular big projects. Experience with desktop publishing, bulk mail processing and bulk mail software is preferred.

Graduation from high school or possession of a GED, HiSET, or TASC Certificate or one additional year of work experience at the type and level of ASA III. Experience Requirement:
Three years of clerical or office support work experience at the type and level of ASA III that includes two years of specialized/technical experience. Education/Experience Equivalency: Additional appropriate post high school education may be substituted for the minimum experience requirement on a year for year basis except for one year of specialized/technical experience.
