the Administrative Services Coordinator II will assist the Director of the Neurobehavioral Unit, the Director of the Neurobehavioral Unit Outpatient Clinic and the NBU Outpatient staff when necessary with their professional duties by organizing and aiding staff activities, office procedures, and preparation of special projects.

Maintain and monitor files to ensure the proper handling and submission of treatment plans and progress notes. Create weekly report and notify Director of outstanding documents. Monitor administrative lists, treatment plan lists, day treatment meeting schedules and office forms to ensure accuracy and utility. Update existing forms and lists and develop new forms and lists as needed. Assist NBU-OP faculty members in the preparation (including, but not limited to typing, proofing, copying, etc.) of memos, correspondence, papers, reports, grants, etc. Maintain a filing system for treatment plans. Maintain a filing system for inpatient budget materials, policies, protocols, data forms, correspondence, etc. Coordinate the submission of manuscripts according to stated deadlines and procedures. Maintain and assist in the proper handling of manuscripts authored by department staff including papers sent out to be reviewed for publication, as well as manuscripts from other sources to department staff for review. Schedule and greet office visitors, respond to direct phone calls and direct and distribute office correspondence. Coordinate travel and lodging plans for IP and OP program events (ex. ABA). Maintain and disseminate minutes for the inpatient admissions and administrative meetings. Coordinate meetings and meeting rooms, including special equipment, room set-up, and catering, as needed. Implement system for ordering office supplies for NBU-OP.

EDUCATION: High School diploma or GED required. Associates Degree preferred.

EXPERIENCE: A minimum of three years of previous administrative support experience.
