The Administrative Specialist performs secretarial duties for the Director of Quality Management as assigned. Provides secretarial support for other members of the Quality Management Department and hospital-wide performance improvement as appropriate.
Education / Experience:
Two-year clerical degree or certificate preferred. Experience in office management required.

Provides clerical and administrative support to hospital wide teams and committees.
Prepares agendas, meeting reminders and related materials for committee meetings.
Takes accurate, clear, concise, and grammatically correct minutes.
Types and distributes minutes in a timely manner.
Assists department managers with typing reports of performance improvement activities, team oriented, and department specific.
Creates graphs, tables and other reports.
Maintains data collection tools and files.
Maintains and provides clerical support for departmental and hospital-wide databases.
Enters data accurately and consistently.
Prepares reports from databases.
Designs/prints/distributes newsletters, brochures, flyers.
Maintains and formats hospital-wide policy and procedures and posts to intranet.
Skills & Qualifications:
Excellent personal computer skills to include advanced skills in Microsoft Office Suite software; must have detailed knowledge of spreadsheet, database, and presentation software as needed
Thorough knowledge of office practices and procedures and the use of office machines and equipment
Proven ability to record minutes of meetings
Ability to handle confidential matters without violating confidences
Proven ability to work under pressure of deadlines and frequent interruptions
Proven ability to take initiative and work independently
Proven ability to communicate effectively both orally and in writing
